Insights from New Zealand’s Government e-Invoicing Day

New Zealand’s Government e-Invoicing Day | B2BE

It was great to be part of New Zealand’s Government e-Invoicing Day on 3 March 2025. The B2BE team engaged with a diverse range of agencies which gave us a unique insight into where everyone stands in preparing for the PEPPOL mandate. We had many thoughtful discussions about how agencies are approaching compliance. From those who are just beginning to explore the new digital invoicing landscape to those who are in the midst of planning roll-out strategies and supplier onboarding. These conversations however, did give us insight into one fact; there are still many agencies looking for support and education which is why we’re sharing our insights from the event.

New Zealand’s Government e-Invoicing Day: Learning from the Conversation

One of the recurring themes we heard was the challenge of getting started. Many agencies expressed uncertainty about the first steps. For example, how to assess existing systems, plan a smooth transition, and ensure that suppliers are ready to join the PEPPOL network. It was clear that, despite the mandate’s clear regulatory framework, the practicalities of implementation vary widely depending on individual circumstances.

Agencies shared stories of legacy systems, concerns about disrupting established workflows, as well as the daunting task of coordinating with multiple suppliers. These conversations underscored the fact that while the mandate is a firm requirement, the path to compliance can look very different from one agency to another.

New Zealand’s Government e-Invoicing Day: Practical Insights for a Smooth Transition

Through our discussions, several key insights emerged:

  • Start with a Clear Assessment: Understanding your current procurement and finance systems is crucial. Identify where the gaps are and how digital invoicing could address them without causing unnecessary disruption.
  • Plan Your Roll-Out Thoughtfully: Rather than rushing into a one-size-fits-all solution, consider whether a tailored approach might better suit your needs. A phased pilot can be invaluable in ironing out issues before a full-scale implementation.
  • Focus on Supplier Onboarding: Many agencies noted that getting suppliers onboard is as important as the technology itself. Clear communication and support during the transition can make a significant difference in ensuring compliance across the board.
  • Embrace a Flexible Partnership: Ultimately, the goal is to find guidance that fits your agency’s unique circumstances. Whether you need help crafting a bespoke strategy or prefer a turnkey solution, partnering with experts who understand the nuances of the NZ mandate can provide peace of mind throughout the transition.
